Job Summary
The Executive Assistant to the CMO is the primary right hand to the Chief Marketing Officer. This is not only an administrative role; it is a high-impact position designed to act as a strategic extension of the CMO’s office.
Objectives of this Role
Strategic Alignment: Act as a connective tissue between leaders, ensuring all departments move in lockstep toward the CMO’s North Star goals.
Operational Efficiency: Design and implement processes that streamline the CMO’s daily operations, from decision-making frameworks to meeting agendas/cadences.
Crisis & Conflict Management: Proactively identify and resolve people and/or process issues before they require the CMO’s direct intervention.
Responsibilities:
- Drive the execution of Go-to-Market priorities, translating CMO directives into actionable project plans for the various team members.
- Manage the flow of information between the CMO, r-team, EA team and senior leadership to prevent silos and insure business moves forward.
- Help to identify blockers or slowers in cross-functional projects and reallocate resources or mediate between VPs to get it back on track.
- Facilitate leadership meetings, setting agendas and handle all follow up task allocation.Turn goals into clear tasks, priorities and deadlines.
- Hold VPs and department heads accountable for meeting and strategy deliverables.
- Establish the source of truth for all CMO-led initiatives, ensuring that project briefs, timelines, and RACI charts are live, accurate, and followed by all marketing members.
- Manage a complex, high-volume calendar with a focus on prioritization over participation.
- Coordinate crucial company events, QBRs, leadership offsites, RKO, user conference sales meetings.
- Manage the marketing, SDR and partnerships budget, including processing invoices, tracking expenses, allocating team based budgets.
- Act as the gatekeeper and gateway, filtering requests and determining which require the CMO’s immediate attention while maintaining a high level of confidentiality.
- Own the full lifecycle of internal swag, from initial creative concepting and vendor selection to inventory management and global distribution.
- Manage relationships with external vendors and agencies, negotiating contracts and ensuring all promotional materials remain within the CMO’s allocated budget.
Skills and Qualifications:
- Experience: 4+ years of experience in a high-growth environment (Project Management or Executive Assistant).
- Marketing/Sales Org Savvy: Familiarity with the marketing funnel, GTM motions, sales processes and creative agency and external vendor workflows.
- Influence without Authority: Proven ability to lead and align VPs and senior stakeholders who do not report to you directly.
- Analytical Mindset: Comfortable with data analysis and budget management to support C-suite decision-making.
- Communication: Exceptional writing and presentation-building skills.
- Education: Bachelor’s degree in Business, Marketing, or Communications; PMP or MBA is a plus.
- Preferred Tools Experience: Outlook, Zoom, Navan, Expensify, Slack, ClickUp, Salesforce, Domo, Paylocity
